Why does the police officer want to see your police record?
The purpose of the inspection is to ensure that everyone who has a responsible relationship with children and young people or people with developmental disabilities in Norwegian sports has a police certificate without comment. The requirement for a valid police certificate has been adopted by the Sports Board based on the police certificate register regulations § 34-1, and the Police Register Act § 37. We have taken the measure to prevent people who have previously committed serious offenses from being able to commit new offenses in sport. How do you share the police certificate with the sports team?
After you have applied for a police certificate, you will receive the certificate in Digipost or Min idrett. Open the police certificate and check that the police certificate is unmarked. Once you have checked this, you can either share the police certificate in Digipost if you have it, or physically present it to the police certificate officer in your sports team. The procedure for sharing the certificate digitally has been sent to you in Digipost. If you are to present your police certificate physically, you will find contact information for the Police Certificate Officer in the purpose form you have been sent.
What happens if I show a police certificate with an annotation?
The sports association only wants you to share a police certificate without comment. If you receive a police certificate with a note, you can withdraw yourself from the role within Min idrett or by informing the sports team that you do not want to have the role after all. If you should still share a police certificate with a note, the sports club will not store the fact that you have presented a certificate with a note. The police clearance officer will then contact you as well as the general manager or chairman of the sports club (possibly relevant persons in the sports club board/management) and inform you that you cannot have the role you have been assigned, as the requirement for a police clearance has not been met.
What personal data is processed in connection with the application and presentation of a police certificate?
In connection with the application and presentation of a police certificate, the information entered in the purpose form will be processed. This involves your name and date of birth as well as the name and contact information of the police certificate officer, as the police need the information to assess the application for a police certificate
Furthermore, your national identity number will be used to ensure a secure identification of you in connection with the contact with Digipost. This is necessary to ensure that the person presenting the police certificate is the same person we have registered in our membership systems and so that the police certificate is linked to the correct person.
How is your personal data used and stored?
Only the police certificate officer and deputy will have access to see your police certificate. The sports team will not store the certificate, but the police certificate officer will register that you have presented a police certificate without comments in the police certificate solution in Min idrett. In the solution in Min idrett, only the police officer and deputy will have access to the information. That the police certificate is unmarked, and what role you have in the sports team, is stored so that relevant people in the sports team can maintain control over who can have roles that involve a relationship of responsibility with minors or people with developmental disabilities.
How long is the information stored?
The fact that the certificate has been presented without comment and that you have had a role in the sports team that requires a police certificate will be stored for 10 years after the role has ended. There are several purposes and needs for storing the information long after the role has ended. Among other things, there are more people who return to sports teams after a few years' break, and it will then be important to have the history of what roles the person has had in the past if the person is to have a new police certificate.
